Cancellation & Refund Policy
Clear, fair terms for changing or ending your engagement with Environcares.

1. Scope
This policy applies to services offered by Environcares Industrial IoT (WARPNEST VENTURES): IoT monitoring platform subscriptions, operation & maintenance (O&M) contracts, hardware supply and installation, and pilot programs. Where a signed master service agreement (MSA) or tender contract specifies different terms, that agreement prevails.
2. Platform Subscriptions
- Monthly subscriptions may be cancelled with 30 days' written notice. Service continues until the end of the paid period; no further invoices are raised.
- Annual subscriptions may be cancelled with 60 days' written notice. Fees for the remaining unused full months beyond the notice period are refunded on a pro-rata basis, less any contractual discounts availed for annual commitment.
- Cancellation requests must come from an authorised signatory of the subscribing organisation.
3. O&M Service Contracts
- O&M engagements follow the notice period defined in the contract, typically 90 days, reflecting the staffing and handover planning involved in plant operations.
- During the notice period we complete a structured handover: documentation, asset registers, maintenance histories, spare inventories and operator knowledge transfer.
- Charges apply for services rendered up to the effective cancellation date, including consumables procured for the facility with the client's approval.
4. Hardware & Installation
- Orders for sensors, telemetry units and panels may be cancelled at no charge before dispatch.
- After dispatch but before installation, cancellations are accepted with return of unopened equipment; a restocking fee of up to 15% and freight costs may apply.
- Custom-built panels and site-specific fabrications are non-cancellable once production begins.
- Installed hardware covered by a bundled subscription remains Environcares property and is decommissioned and retrieved on cancellation, unless bought out at the depreciated value stated in your agreement.
5. Demos & Pilots
- Free demonstrations carry no obligation and no cancellation formality.
- Paid pilots may be cancelled mid-way with 15 days' notice; fees are payable for the elapsed pilot duration and any non-recoverable hardware/installation costs.
6. Refunds
- Approved refunds are processed within 14 business days to the original payment method or by bank transfer.
- Statutory taxes already remitted are refunded to the extent permitted by law.
- No refunds are due for periods in which services were available and delivered per the agreed SLA.
- If we fail to meet a contracted SLA, service credits or refunds apply as defined in your agreement, independent of this cancellation policy.
7. Your Data After Cancellation
Your telemetry is yours. Before account closure we provide a complete export of your historical data in open formats (CSV/JSON) at no extra cost.
- Data export is offered during the notice period and for 30 days after service end.
- Following the export window, platform data is permanently deleted within 90 days, except records we must retain by law.
8. Cancellation by Environcares
We may suspend or terminate services for non-payment beyond 45 days of invoice, material breach of contract, unsafe site conditions preventing our teams from working, or unlawful use of the platform. We provide written notice and a reasonable cure period wherever practicable, and the data export commitments in Section 7 still apply.
9. Force Majeure
Neither party is liable for delays or failure to perform due to events beyond reasonable control, natural disasters, floods, epidemics, government orders or grid failures. If a force majeure event continues beyond 60 days, either party may terminate affected services without penalty, settling only for services already delivered.
10. How to Cancel
Send a written cancellation request to info@environcares.in from your registered email, including your organisation name, service/site details and desired effective date. We acknowledge within 3 business days and confirm the cancellation schedule, applicable dues or refunds, and data export steps.
